How to Set up a Fully Automated Outbound System in Just 14 Days

Hey, Ryan here from The Growth Center.
If you are looking for additional ways to profitably acquire new B2B SaaS customers (beyond just your existing network, referrals, or one-off trade shows or conferences)...
One of the best ways to do this is by leveraging cold outbound marketing.
More specifically – multi channel outbound marketing using email and LinkedIn to reach decision makers in your target market, turn them from cold to warm, then ultimately set up a call with them.
The goal with outbound marketing is to drive daily lead flow – meaning every day, without you having to touch anything, you have decision makers responding back to your campaigns showing interest in what you’re offering to them.
Over time, this helps you build a pipeline full of warm decision makers you can demo your product to and work on converting into paying customers.
Imagine having 50+ open conversations with great-fit prospects who’re all in the process of making a decision to purchase your software.
That’s the power of what leveraging outbound marketing across email and LinkedIn can do (and what it’s done for many of our clients at The Growth Center).
The first step to getting started is to set up your automated multi-channel outbound system.
Below, I will give you the quick and easy steps you can take to do this in as little as 14 days.
Let’s dive in:
Outbound Email
Step 1
Purchase Secondary Email Domains using Zapmail
Navigate to Zapmail.ai and create an account.
Zapmail is a platform you can use to purchase secondary email domains for outbound, set up Google and Microsoft email accounts for those domains, and directly upload the accounts into your email sending platform.
All in one place.
Once you have your account created, the first thing you’re going to want to do is purchase your secondary email domains.
I would recommend purchasing a minimum of 30 domains.
You can name these domains similar to your main company website – by simply adding a prefix or a suffix.
For example, let’s say your company website is titansoftware.com (making this up).
A secondary domain name could be gotitansoftware.com or titansoftwareapp.com
See how I just added a simple prefix and suffix to each, making it slightly different from the original website name.
To make this easy, you can ask Chat-GPT to give you 30 variations of your main company domain name, by having it add simple prefixes and suffixes.
Once you have all your names, go into Zapmail and purchase the domains.
Step 2
Set up Google & Microsoft Email Accounts using Zapmail
After you’ve purchased the domains, you’ll then want to set up your email accounts for each of those domains.
I would recommend doing a 50/50 split between Google and Microsoft accounts.
So in this case, 15 of your domains would be using Google accounts, 15 of your domains would be using Microsoft accounts.
For each domain, you can set up 3 email accounts.
So this would give you 90 total email accounts (45 Google, 45 Microsoft).
Step 3
Set up an account on an email sending platform like Instantly.ai or EmailBison.com
I would recommend Instantly.ai if you have a small team or it’s just you running the system.
If your team is larger and you want separate workspaces for each of your team members, then I’d go with EmailBison (this is what we use currently for all of our clients).
Step 4
Upload the Google & Microsoft Accounts into your email sending platform
The next step is to upload the Google and Microsoft accounts you set up in Zapmail into your email sending platform.
The best part about Zapmail is they have a built-in direct integration with both Instantly and EmailBison.
So you can, with the click of a button, directly upload all of your accounts into the platform – completely automated.
This used to take hours to do, or you’d have to pay a VA to do this every time. But with Zapmail, you can do it in the click of a button.
Step 5
Turn email warmup on (send 10-15 warmup emails per day) and wait 14 days before sending to cold leads
Once your email accounts are all uploaded into your email sending platform, turn on what’s called “email warmup”.
Email warmup helps you get your accounts warmed up properly before you start sending to cold prospects.
When you turn this on, your email accounts will begin sending and receiving emails from your email sending platform’s warmup pool.
After 14 days of sending and receiving emails, your email accounts will gain a positive sending reputation with Google/Microsoft, which helps you get your emails properly delivered.
So the TLDR here is simple: Turn on email warmup, wait 14 days until all accounts are warmed up completely.
Outbound LinkedIn
The set up process for outbound LinkedIn is extremely simple (which is why I love combining LinkedIn with email).
I recommend using HeyReach.io to run outbound LinkedIn campaigns from.
They have great integration capabilities and the UI is easy to learn how to use.
All you need to do is connect your LinkedIn profile with HeyReach and you can start connecting with prospects in your target market, on autopilot.
Also, this isn’t mandatory, but I would recommend getting LinkedIn Sales Navigator as well for LinkedIn lead list building for your HeyReach campaigns.
Final Thoughts
Following this step-by-step process will give you a fully automated, multi-channel outbound marketing system your team can use to:
- Connect with decision makers in your target market on multiple channels
- Make them aware of your offer and turn them from completely cold to warm
- Set up calls with them to showcase what your product can do to solve their challenges and fulfil their desires
Without any advertising spend needed.
Without having to pay thousands of dollars and travel costs to attend trade shows or conferences.
Without having to hire any additional team members to run this (one person can run this entire system since the outreach is automated).
